As an IT project manager at various client groups, I seem to be constantly looking for better ways to get my clients to use Gantt charts. People don’t like them and, even worse, they don’t want to participate in discussions about them. This can cause serious problems for the PM. I am currently using the native timeline feature in MS Project which helps with this problem. However, it is quite limited…at least as far as my knowledge of how to use it is concerned.

So after talking to my boss about the timeline view in MS Project and originally wanting to expand my skills in MS Project so I could get more out of it than I currently can, I did some research and ended up chose Office Timeline. It looked great and there was a 14 day free trial, so I took it.

Office Timeline (powerpoint Add-on) Review

So, when you download the free trial and install the add-in, you will see a new tab called Office Timeline Pro in the MS PowerPoint application. From this tab, you can access a bunch of timeline templates. Once you’ve chosen the option you feel best suits your requirements, you can choose to import data from Excel or (most importantly) MS Project! You don’t need to import the data, but you can set it up in the Office timeline if you want, although for me, being so invested in Gantt charts, this is a no-brainer.

When you select Import and select the source project plan, you can select items from the plan to include in the timeline. Once you’ve done that, select Create and everything will appear on the Powerpoint slide. Now I was a bit frustrated at first because when it first came out there was overlapping text etc. Now your interest in the information will determine how you process the data and format it. All formatting is done in the Styles pane and you can manually change any imported data by clicking the Edit Data button. When using the Styles pane, I usually press Ctrl A on the slide and apply it to all items, although you can also format each item.

Many people will have many different applicable use cases for this tool, so I will lay out my use cases here and then provide feedback on the tool based on my experience.

So I’m mostly interested in being able to summarize the whole project (phase level), including some key milestones, and add some details about the current phase tasks and/or tasks yet to be completed. After using several templates, I like the Engineering template the best. The image I have included in this article is based on that image.

When the material is first imported, the bottom swim bar doesn’t appear (although I think you can do something about it, I haven’t yet). So all the data is displayed at the top. Now that I’ve finished planning the import phase, I’ve ensured that each phase of the project is tasked with providing a summary at the top of the timeline. At the same time, I added milestones and ongoing or unfinished tasks that I wanted to draw attention to in the bottom bar. They all appear at the top when you first create your timeline. So you click Edit Data and manually create swimlanes for the project phases, then drag the tasks into the relevant swimlanes. If you’re having trouble with task titles overlapping the bar chart or associated text, then you can manually increase the timeline from the Styles pane (I usually set it to 1 month ago, which scrapes the bar chart data a bit to the right).

Then comes the formatting. Once you’ve tried the format for about half an hour you’ll be very comfortable doing it, and so far I can get a new timeline up and running in about 15 minutes and I think the results are fantastic. Since discovering the tool this week, I’ve been using Office Timeline Pro to create a timeline for 2 of my existing client projects and publish it to the Highlights Report. The feedback was very good. Even if the clarity of this image leads the client to question the order of tasks or the validity of a given task or its percentage of completion, that’s great! Finally, a simple, easy-to-understand and comprehensive Gantt chart display encourages and facilitates discussions. I absolutely love this tool; it’s my new favorite job!

Of course, when it comes to criticism, everything has its limits. I would be happy if after I import the source data and create a timeline once, I can update the source data in the layout and then re-import it to the previous timeline, as this means I don’t have to manually re-create the time every time Line View*. However, this requirement can be overwhelming, requiring more expensive enterprise reporting tools. I’m hoping to get it down to 10 minutes per timeline as I get more familiar with using it, so it’s really a small investment to make something so cool for your premium reports. I also recommend this feature to anyone who has manual planning visuals anywhere in their slides, where every week they have to go in and drag little chevrons one by one based on the source data sliding back and forth in the plan. People spend hours on this stuff and it’s a soul-destroying activity. Office Timeline will finish everything…so I highly recommend it 🙂

*Correction here: I was told by the lovely people at Office Timeline that there is a “sync” button and once you create a timeline you can update it by syncing with the source data, so I just wish it could do that for me it can… Awesome ! Commonly used project management tools produce visuals that are either too complex or unattractive, and creating visuals from scratch can be a time-consuming ordeal.
